The Wilder Institute/Calgary Zoo is seeking a permanent, full-time Specialist, Prospect Management who will play a critical role in supporting the organization’s fundraising efforts by ensuring accurate and timely management of prospect and donor data, preparing materials for prospect management meetings, and assisting with prospect research activities.

This position enables frontline fundraisers to focus on donor engagement by handling high-volume, process-driven tasks and maintaining data integrity in the Tessitura system.

What you will do:  

  • Maintain and update prospect and donor records in Tessitura, ensuring accuracy and completeness of plans, coding, and engagement data.
  • Monitor and maintain data standards and best practices for prospect management. Create and update process documentation.
  • Upload event information, documents, and contact preferences into Tessitura.
  • Schedule and prepare materials for quarterly prospect management meetings, including portfolio reports. Capture and complete follow-up actions.
  • Track and update prospect assignments, ensuring alignment with organizational priorities and campaign goals.
  • Respond to Key Relationship Manager (KRM) data requests and provide timely support for prospect-related inquiries.
  • Conduct prospect research-related activities as needed, including preliminary capacity evaluations, affinity scoring, and media monitoring.
  • Work closely with the Manager, Prospect Development to support campaign readiness and strategic initiatives.
  • Performs other responsibilities as required.

What you will bring:   

  • A college diploma in business, fundraising, information science, or other related field is an asset.
  • At least 2 years in prospect management, data administration, fundraising support or other related fields is required.
  • Experience with CRM systems (Tessitura preferred) and prospect research tools (e.g., iWave).
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to synthesize data into actionable insights.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • High level of integrity and discretion in handling confidential information.
  • A balance of independent initiative/self-motivated and team-oriented collaboration to ensure results
  • Remain apprised of best practices in prospect management through ongoing professional development and networking
  • Adaptability, resourcefulness, and the ability to manage multiple priorities in a fast paced, dynamic environment.
  • An interest in working for a leading wildlife conservation charity focused on taking and inspiring action to sustain wildlife and wild places.

Working Conditions:   

  • Sitting at a desk for long periods of time
  • Using computer for long periods of time
  • Although primarily Monday-Friday, some evenings and weekends may be required.

The Wilder Institute/Calgary Zoo is an outdoor facility and all staff working at the zoo must be comfortable working in a large variety of outdoor conditions. The Wilder Institute/Calgary Zoo follows the advice of Environment Canada when responding to temperature and air quality issues.
